Full Step-by-Step Workflow · Before, During, After

Most-used checklist

Use this as your day-to-day checklist. It is written so you can follow it without needing the videos. If you only memorize one thing: confirm audio routing first, then record → upload → wait → edit → remove highlights → finalize.

1 10 minutes before session (setup)

  1. Close extra apps that might take over audio (Spotify, YouTube, extra Zoom windows).
  2. Plug in / connect your headset (or confirm Bluetooth is connected and stable).
  3. Open your telehealth platform (Zoom/Teams/etc.) and confirm it opens normally.
  4. Open SessionGlance and sign in.
  5. Confirm your client is selected/available in SessionGlance (refresh list if needed).
  6. Audio sanity check: speak briefly and verify your microphone input shows activity (where applicable).

2 Audio routing quick confirm (do this every day)

  1. Confirm telehealth Speaker/Output is set to your routing target:
    • Windows + VB-Cable: telehealth output routes into the VB device (per your workflow).
    • macOS: telehealth output routes into your Multi-Output device (virtual driver + headphones/speakers).
  2. Confirm you can still hear audio (test call tone or audio test).
  3. Confirm SessionGlance device selection matches your routing plan (avoid changing mid-session).
  4. If you changed headsets: re-check routing before you hit Record.

3 Start recording (beginning of capture)

  1. In SessionGlance, verify you are on the correct client and date/session.
  2. Click Start Recording.
  3. Watch for the “recording in progress” indicator and confirm it is active.
  4. If your session includes administrative topics you do not want captured, you can Stop and Start again.

4 Stop recording (end of capture)

  1. Click Stop Recording in SessionGlance.
  2. Confirm the recording shows as saved/available for upload inside the app.
  3. If you do not see the recording: do not start a new one yet—check device routing and try again.

5 Upload (immediately after session)

  1. Click Submit / Upload for the recording you just completed.
  2. Keep SessionGlance open until you confirm the upload is complete.
  3. If your internet is weak:
    • Stay on the same network until upload finishes.
    • Avoid sleep mode; keep the laptop awake during upload.
  4. Once upload completes, allow time for processing. Do not assume drafts are instant.

6 Find drafts and begin editing

  1. Locate the session/report entry that shows drafts are available (often marked Incomplete).
  2. Open the Assessment (96130 draft) first.
  3. Do a complete read-through top-to-bottom before heavy edits (helps you spot structure issues).
  4. Then open the Client Feedback Report and review it separately as client-facing content.

7 Edit in passes (fast + safe)

  1. Pass 1 (factual): names, dates, identifying details, incorrect statements.
  2. Pass 2 (clinical): tighten formulation language to match your judgment and evidence.
  3. Pass 3 (formatting): headings, spacing, and any leftover highlights/markup.
  4. Save after each major pass.

8 Remove highlights and finalize (lock only when ready)

  1. Select all text:
    • Windows: Ctrl + A
    • Mac: ⌘ + A
  2. Remove highlight/background formatting so exports are clean and client-ready.
  3. Do a final read top-to-bottom (this is the version you are signing off on).
  4. Click Finalize only when the draft is ready to lock.
  5. Export and upload to your EHR (or share the Client Feedback Report as appropriate).

1 Verify you’re editing the right draft

  1. Confirm client name and session date match what you intended.
  2. Open the Assessment (96130 draft) first, then open the Client Feedback Report.
  3. If you don’t see drafts yet, return after additional processing time.

2 Remove anything you wouldn’t sign

  1. Delete or revise statements that feel too certain or not supported by the session.
  2. Ensure any diagnosis language matches your clinical formulation.
  3. Confirm the client-facing report is appropriate to share directly.

3 Clear highlights and finalize

  1. Select all text (Windows Ctrl + A / Mac ⌘ + A).
  2. Remove highlight/background formatting.
  3. Final read-through, then click Finalize when ready to lock.

Windows · VB-Audio Cable Install & Troubleshoot

If you’re on Windows and SessionGlance needs a virtual audio driver, this section walks you through install + routing fixes.

1 Install VB-Audio Cable

  1. Run the VB-Audio installer (approve Windows prompts).
  2. Restart your computer so the driver loads.
  3. Open Sound settings and confirm VB devices appear.

2 Enable “Listen to this device” (critical)

  1. Right-click volume icon → Sound settingsMore sound settings.
  2. Recording tab → select CABLE Output → Properties.
  3. Listen tab → check Listen to this device.
  4. Playback through this device → choose your headphones.
  5. Apply → OK.

3 Quick “no sound” recovery

  1. Open Volume Mixer and confirm nothing is muted (telehealth app + VB device + headphones).
  2. Re-check telehealth Speaker/Output setting.
  3. If still broken: restart once and repeat the Listen steps.

macOS · Install SessionGlance

Install the macOS app, sign in, and complete first-run prompts. If SessionGlance prompts you to install a virtual audio driver, complete that before you record.

1 Download and install

  1. Download the macOS installer from your portal.
  2. Open the downloaded file.
  3. Drag SessionGlance into Applications and wait for the copy to complete.
  4. Open Finder → Applications → launch SessionGlance.

2 First-run checks

  1. Sign in using your SessionGlance credentials.
  2. Approve prompts needed for the app to function.
  3. If prompted to install VB-Cable/BlackHole: install, then restart if recommended.

macOS · Virtual Audio (VB-Cable or BlackHole) Setup

Step-by-step routing

On macOS, audio routing typically uses a Multi-Output Device so you can hear audio normally while SessionGlance captures it.

1 Install the virtual audio driver

  1. Install VB-Cable or BlackHole 2ch when prompted.
  2. Restart the computer if the installer recommends it.
  3. Confirm the device appears in Audio MIDI Setup.

2 Create Multi-Output in Audio MIDI Setup

  1. Open Audio MIDI Setup (Spotlight search “Audio MIDI”).
  2. Click +Create Multi-Output Device.
  3. Check both:
    • Virtual driver (VB-Cable or BlackHole)
    • Your headphones/speakers
  4. Rename it to SessionGlance Audio (recommended).

3 Set telehealth output and confirm you can hear

  1. In your telehealth app, set Speaker/Output to your Multi-Output Device.
  2. Play a test tone / run a test call to confirm audio is audible.
  3. In SessionGlance, ensure capture device selection matches your routing plan.
